Before issuing a purchase order to a supplier, a GCC buyer should reconfirm that the final commercial version matches the decision that was made. A purchase order should not be the first place where product details, quantities or delivery expectations become clear.
What to reconfirm before issuing a purchase order
Use this checklist for the final supplier conversation:
- Which quotation or version is being accepted? State the quotation reference and date, so both sides are working from the same document.
- Is the product definition complete? Reconfirm the agreed model, material, dimensions, finish, approved sample or drawing, and any product references.
- Are quantity and units unambiguous? Check the number of units, packs, sets or metres and how any permitted variation will be handled.
- What delivery point and timing are expected? Record the intended destination, dispatch or delivery window, and the point from which the supplier measures its lead time.
- Which open points are still outside the order? Identify any unresolved technical approval, artwork, packing detail, inspection step or document requirement. Do not hide an open point inside a general instruction.
- Who confirms receipt and the next action? Ask the supplier to acknowledge the order, identify the contact responsible, and state what it needs before production or delivery planning can begin.
A hypothetical example
A Bahrain buyer selects a Turkish supplier after reviewing two comparable offers. The buyer issues an order using a previous quotation reference, while the latest email contained an updated packing detail and a different delivery assumption. Before sending the order, the buyer should combine those agreed changes into one clear reference. The supplier can then confirm whether anything still prevents the order moving forward.
This protects the work already done when comparing supplier quotations and when reserving production capacity. It is a practical confirmation step, not legal or financial advice.

Next step: send the supplier a final order-summary email that names the accepted quotation, product reference, quantity, destination, timing and every item that remains open.
